HomeMy WebLinkAboutTree Board Minutes 05.18.2017 Laurel Tree Board Meeting May 18, 2017 Laurel City Hall Attending: Aaron Christianson, LuAnne Engh, Matt Wheeler, Fran Schweigert,Alyson Nys, Pat Hart, Kurt Markegard LuAnne opened the meeting—announcing that we have a new member Pastor Widdis,from the First Baptist Church. LuAnne will call him and invite him to the next meeting. We should include anyone that helped with the Arbor Day planning in future Tree Board emails so they can follow along with decisions. Cindy is retiring this month so the new person will need to be notified. Arbor Day review— • Allison brought thank you cards from the students—All the teachers and students enjoyed the day. They were tired from the cool weather and watched a movie in the gym when they returned to school. See attachment of sample card • Students voted the best displays BEES and WEATHER • Aaron is going to scan the cards and make a large poster collage which Kurt will upload on the website. Aaron's poster will be displayed at the Library and then we'll ask our donors if they would like to display it for a month. Allison noted that students names can not be used on electronic websites. • We'd like to see pictures of the day on the city website and face book page. People should send their photo to Kurt so that he can get those uploaded to an Arbor Day page • We need an accounting of the Arbor Day fund to attach to the minutes—Bethany was out of the office. LuAnne will follow up with her. • Program needs to be more exciting—more interaction with the kids from the stage. It was suggested that Brian Dennis (Boys and Girls Club) could be that person. The Superintendent did a good job with her presentation. • Next year the fireman would like to have a booth as well. • Home Schoolers should receive an invitation Dale's notes on the Walmart grant,food, SOW trailer- WalMart grant was for$400 in which we used $387 for the total cost of food and fuel for the generator to run electricity at the event. 1.WalMart grant process was time consuming, not with applying, but with the difficulty of the Laurel WalMart and it's coordination with their corporate office in Arkansas. Recommendation: if we apply again, the application for a grant should be submitted in January for a May event. Donnie McVey, Business Manager for Laurel Schools did an outstanding job with the grant. I was allowed to use the Laurel School District credit card to make all purchases of food and fuel that are covered by the grant which was sent to Laurel Schools. The process once the money was received by Laurel Schools ran very smoothly. For next year, I would recommend approaching Franz bakeries for a donation of all hot dog buns for this event. 2. Food: I felt the food that we used was appropriate for our students and workers. I would recommend serving the same types of food in future Arbor Day events. The ice cream was a big hit. I planned for a quantity of 256 hot dog/buns and we served about 215 plates. I did use some discount coupons which brought down the per box cost of the chip packs. No more Fritos, not a big "seller"with kids. Recommendation: bring down the total number of meals planned for from 256 to possibly 230? Purchase less food which will bring down costs. 3. S.O.W.Trailer: I thought that the use of the S.O.W. Trailer worked well for this event. Depending on where the trees are to be planted each year, we would need to coordinate where to park the trailer where it provides safety for the students. The SOW volunteers enjoyed the event and I believe that the trailer and volunteers could be provided for each year's event. Next year's location— • Russell Park (South Side) and South Pond were mentioned as possibilities. Both need tree care and there is plenty of room for busses and students. We'll meet at South Pond next month to review that idea. • Any trees we plant will need a drip line • Allison mentioned that planting trees on school playgrounds would be an idea • Aaron reminded us that there can be three parts to Arbor day— o Education—presentations for students o Arborist trimming—asking for donations from tree services o Service Projects—landscaping or clean up Other business • West side tree in Veterans Park should be removed...it's diseased • Fran has watered all the trees in parks that don't have a watering system, regardless of all the rain the ground is still dry.
