HomeMy WebLinkAboutTree Board Minutes 04.27.2017 Arbor Day Committee Meeting April 27, 2017 City Hall Attending: Mayor, Matt Wheeler, Fran Schweigert, Zada Stamper, Pat Hart, Sue Carter, LuAnne Engh, Tim Reiter, Aaron Christianson LuAnne conducted the meeting Biggest concern is the weather. We will determine that at 6am Tuesday. We will go ahead unless it is raining and under 40 degrees, then we'll move to the school and use Plan B Using classrooms for the presenters and having the food trailer come to the back of the gym to serve the kids. The ceremony would still go on in Murray Park with the 7 kids planting the tree. We will push to make it happen in the park!! 1. Lunch—Dale is out of town, but he will purchase everything on Monday. The Walmart Grant of$400 will be sent to the school district. Bethany has stated the best practice for managing funds is for Dale to get reimbursed from the City(turn receipts in to Bethany) and then Bethany will submit an invoice to the school district. That way an audit trail is less confusing. Bruce Lefler has collected condiments from IGA Garden Club ladies have everything set—Heidi's Coffee Cabin donated cups/covers/sleeves 2. Bands/shirts/poster— Bands and shirts have been distributed. The cost on the shirts was $520. Banner(donated by Dynamic Designs) looks great—we will put it on the pool fence for one month following. 3. Vendors—7 Vendors Set up for vendors is 8:00 Still working on canopies. Kurt has a big one for the food area. LuAnne will get the Master Gardeners canopy Two from the pool have disappeared, but LuAnne will contact Mark 4. Ceremony— Kurt is working on the program. He will get a fog horn in case the fire trucks are called out. Kurt will get the logos printed in the brochure Richard Klose will also bring a backup speaker system in case Dale's doesn't work Heidi will lead the tree planting. DNRC will present the plaque Both Mark and Linda will be speaking Trailer will hold 5 chairs for the presentation 5. Donors— First Interstate gave us $100 LuAnne will get thank you letters to Walmart, FIB, Garden Club, all the vendors and SOW ministry 6. Media Coverage— LuAnne has contacted the Gazette, Q2 and KULR 8 Allison will take pictures as well 7. Park preparation/schedule Fran is all loaded. Waiting on trees. LuAnne will check with Pat on the Cottonwood and they can be picked up Monday Holes will be prepped Friday, grass mowed 8. Home schoolers—Not this year due to testing 9.
