HomeMy WebLinkAboutTree Board Minutes 04.13.2017 Arbor Day Committee Meeting April 13, 2017 City Hall Attending: Mayor, Matt Wheeler, Fran Schweigert, Bruce Lefler, Pat Hart, Sue Carter, LuAnne Engh, Dale Ahrens, Aaron Christianson Aaron/LuAnne conducted the meeting 1. Lunch—Dale talked to Nick the Manager at Walmart. He can't say when the grant will be available. The$400 card or check will be sent to the school district. Dale will go price the food to see what we'll need beyond the grant. If we can get donations of paper products or condiments and flatware it will help. Dale plans to purchase and submit receipts to Bethany. The menu is: grilled hot dogs/buns, chips, fruit and ice cream. There will be jug water to refill the bottles provided by the PTA. Bruce Lefler promised condiments from IGA—Add them to the donor list 2. Bands/shirts/poster— Bands are in— cost was $132.21 Youth bands given to Allison at the next meeting T-shirts (gray with purple) being ordered today— final number was 62 shirts—costs $459 Poster with the final donors was ordered(donated by Dynamic Designs) value$125 3. Vendors— 7 Vendors The site map has them marked—we'll keep those with trailers close to the street Tables/chairs will be provided as needed and then used for the lunch and ceremony Set up for vendors is 8:00 and the Garden ladies will have the coffee ready for them 4. Ceremony— Kurt is back to work '/2 time and wasn't available to speak on the ceremony Kurt has contacted the speakers and has the program responsibility. An ad for the paper was presented by Cheryl— Ceremony is at 12:30 A trailer will be provided for the stage. Dale has a speaker, microphone and CD player (music) but will need room to plug in to the electrical panel. We need to remind Allison that 7 kids (who can have their photo taken) need to be selected for the ceremonial tree planting 5. Donors— Thank you letters by Bethany have been sent to our major sponsors plus Cotters First Interstate will give us a local donation of$150 and Walmart will be listed LuAnne will ask Pat at Canyon Creek for a tree donation. Bethany and LuAnne will make sure the other Donors get letters. All donors will be put on the banner that will hang in the park and later we'll ask if it can be on the fence at the pool. They will also be recognized in the Outlook Article. Should we contact the Gazette or TV stations? LuAnne will contact Q-2 6. Outlook Coverage— LuAnne has sent all our information about the event to the Outlook but waiting to have the City and School send a press release to them. It would be good to have comments about how this combined effort give the city and school an opportunity to encourage stewardship of the trees and parks. The Outlook will be there to cover the event. 7. Park preparation/schedule Fran will pick up the trees on Monday and set them. The city will deliver tables, chairs, cones and tape for bussing area, garbage cans, LuAnne will prepare vendor location indicators and make laminated copies of the schedule for volunteers and vendors During the lunch rotation the other kids can work on planting the 3 trees with shovels and cups for dirt. Teachers to supervise. 8. Home schoolers—Aaron to arrange for the home schoolers. He expects the groups to be about the size of the other classrooms and one student will be selected to do the tree planting 9. Next meeting—Thursday, April 27th 9:00 City Hall
