BOARD MEETING - JULY 28, 2005
The Laurel Chamber of Commerce Board of Directors met on Thursday, July 28, 2005 at Sid's East Side
Bar and Grill from 12:00 to 1:00 p.m. Those in attendance were President Donna Podolak, Secretary Kim
Wombolt, Directors: Tracy DuFresne, Glenda Seabrook, Wes Burley, Jerry Bauck, Stephanie Potter, Coral
Harvey, and Mike Nardella, and Chamber Members: Dee Dee Crider and Phyllis Bromgard.
Donna called thd meeting to order and asked if all present had a chance to read the minutes from the July
14t~ meeting or if anyone would like to have the minutes read to them at this time. Stephanie stated that she
has not read the minutes yet, but does not need them read to her. Coral made a motion to accept these
minutes as read, seconded by Glenda, and all present voted in favor of the motion. Bills presented for

payment were: Jan's IGA - $22.45, Ben Franklin - $16.05, Cotter s - $56.0 ,
$100_96, Laurel Outlook - $74.50, Dynamic Designs - $436.06. Jerry made a motion to pay these bills,
seconded by Tracy DuFresne, and all present voted in favor of the motion.
Donna introduced Peggy Miller as today's speaker. Peggy smtecl that she was here to represent the
Laurel F.F.A. even though she has represented the Grace Bible Church for it's 4a' of July events recently.
She thanked the Board for allowing her to come to this meeting to lalk about the FFA and the upcomhag
events. Currently, there are 22 kids involved with the FFA from this area. She stated that the FFA gets
children involved and not just with agrieuimre type things. She stated that the FFA is very misunderstood.
They have other types of programs, tn fact, the mechanics team just fled for third place, which put them in
a position to be able to go the national convention. Since the other team that they tied with was made up of
mostly seniom and the Laurel teean was mostly sophomores, the other tean~ were chosen to go. The Laurel
team decided to go forward with raising money to pay their own way to the convention. In order to this,
they decided to do one large fendraising event rather than a lot of small ones like car washes, bake sales,
etc. They are bringing Baxter Black here for a show on August 27a'. This will be good for the connnnnity
as well since it will pave the way for Laurel to start having some big name entertainers here. Peggy stated
that they would like to bring three to four big name people here each year. All of the organizations could
work together to do this. Peggy further stated that Baxter Black was an FFA student himself and is cutting
the price for the show bemuse of that fact. He usually does not do more than one or two shows per state
each year. Peggy stated that they are selling sponsorships and these are as follows: $150 - two tickets,
VIP reception, and advertising; $300 - 4 tickets, VIP ~ception, reserved parking, and edver~.ising; $500 - 8
tickets, VIP reception, reserved parking, photos and autographs, and advertising. All other tickets sell fro
$20. each. People can become ticket captains and will get a free ticket for selling ten tickets. Peggy said
that they plan to host a reception afterwards with food, music, and ch-irrks. She further slated that she is
open to any help that anyone might be able to offer. She brought posters and asked all present to put these
in their businesses. She said that future names that she is trying to get here include, Ringling Five. She
would like to get this group here for an event in November. Glenda stated that they would be in Billings at
that time in order to do a show hosted by VFW. Peggy thanked Glanda for that information since she will
try to get another group for November and see if the R/ngimg Five v~uld come here in February. Peggy
said that she is open to any ideas that anyone would have. Donna thanked Peggy for speaking at this
meeting and wished her good luck on the events for the FFA.

Old Business:
Jerry turned in the two leftover coupon books that he still had along wilh the money for the ones he sold.
The only coupon books still out there are the ones that C.J. has. Klm stated that she has been selling a few
books here and there at the Farmers Markets.
New Business:
Kiln stated that she attended a meeting with the other organizations and the City of Laurel to discuss
changes needed on the Fourth of July events. Klm said that while there, it was brought up that it might be
easier for file parade judges to get a more accurate idea of the entries if the parada was goiug daring the
judging. This would be especially beneficial when judging the musical entries. Peggy Miller has offered to
let the judges sit at Laurel Factory Outlet in order to do the judging. Khn stated that even if the Chanlber
has to mail out the six plaques, it would not be too costly m do this. It was further stated that the Laurel
School Band was a little hurt that they did not win a prize. Klm said that she could make a certificate and
get an Honorable Mention ribbon. Peggy is going to check into the date of the next school assembly. Klm
said that if Donna could take the certificate and ribbon and present this to the band at this trna, it would
help to get the kids excitedr~bout coming back. The Chamber did give the kids each a certificate for a free
cone at Mo's Kones as well. It is a big deal to have a school band in the parade and all agreed that a
certificate and ribbon would help. Donna said that she would be glad to present this to the band and to just
let her know when the assembly is so she can do this.
Glenda reported on the Lewis and Clark Heritage Days event held last Friday and Saturday. Gleada had
a handout that she gave everyone. This handout was a summary of the event. Glenda stated that she would
never work with Walt Foster again since he dropped out of the event just a few days before. This left the
con~mittee without any mountain men or type of events for the Heritage Days. Thanks to a few fi'om the
Rocky Fork Fur Trappers, they were able to put together a few people and exhibits with just a few days
notice. They will be back next year to help with the event. The food concessions did not go as planned
either. Glenda stated that the one concession stand with Klines did not materialize. The Four Dances
people were able to provide buffalo burgers for lunch. The buffalo burgers sold out with people asking for
more. The burgers and the real live buffalo were the main attraction of the event. Berate Mason ftom the
Yellowstone County Extension Service provided a Taste of the Trail with buffalo sausage and soup. This
went over well also. There were six vendors on both days. Alt vendors were able to get their costs back,
but the customer traffic was very light. The bluagrass band provided music on Friday at 6 p.m. They were
still playing at 7:20 p.m. wben everything else was over. Gleada further stated that the expenses were
covered by the charging of the booth spaces. She was a little upset that besides the connnirtee that worked
on this event, the only person from the Chamber who showed up was Phyllis. Glenda stated that the
members of the board need to take a more active role in Chamber events. Gtanda stated that a bigger
co~nnaittoe needs to be put together ta work on this project next year. She thought that after next year, the
event could be moved to May. There are too much other things going on after June in order to have a really
successful event. Donna stated that she would like to congratulate Glenda and Jerry on this project. Jerry
stated that he would like to get the Rocky Fork Fur Trapper people more involved next year. Klm stated
that when Mayor Ken Olsnn was in the office the other day, he was talking to her about this event, which is
called Heritage Days. He got things confused with the Billings Bike Trail called Heritage Way. After
talking about both, it was brought about by saying that Laurel needs a bike trail since there is nowhere to
ride a bike in and out of Laureh The idea soon caught on that file proceeds from the Laurel Heritage Days
could be used to start the Laurel Heritage Ways Bike Trail. After talking to Cununissioner Bill Kennedy,
he said that he would be happy to help with this type of projact, as well as Ken Oleon. There is grant
money available for this and the match needed could be taken from the proceeds. If the Board is in
agreement, the Chamber could proceed with getting the details pinned down. All present liked the idea.
Klm reported that the Farmers' Markets are going well. She stated that even though the events have
been reported wrong every week for the last three weeks in the Enjoy part of the Billings Gazette, people
are setting up as vendors, and others are partaking in the sales. She stated that the producers and crafters
are happy. It bas been a good idea to have the markets held at Firemea's Park since there is plenty of shade
for everyone who sets up a table. The dilly problem is that Klm has had to get after a few people for tying
to drive on the grass. The Chamber has wagons for transport of goods, if needed. The markets will keep
going every Wednesday from now until around October, depending upon the weather.
Discussion was held on the Annual Membership meeting to be held on Thursday, August 11~' at
Riverside Park at 6 p.m. It was stated that there would be a meeting in order to determine the supplies
needed before the actea] event. This meeting will be held one week before the event. All should try to
attend this meeting on Thursday, August 4~b at the Locomotive. The number of those planning to attend
will be in by that time. KLm will also put together a rough draft ufa survey to be brought to the meeting.
To date, there are 56 people signed up for the event. Donna stated that she would need to purchase tickets
for herself and her husband. Gleada stated that she would also need a ticket. Wes stated that Peppy, the
barbecue person has a good plan and everything should ran smoothly. Klm will bring the baked beaus.
Wes asked if these would need to be put in a special conlainer. Klm stated that she has a large roaster and
will bring that for the beans. Discussion was held on the corn. It was stated that the cum could be
purchased from the Billings Farmers Markets for around $3.00 a dozen. Klm stated that the cum should be
purchased from Laurel if at all possible. She offered to call some of the locals that sell produce at the
Farmers Markets to see if the cum would be ready and what kind of pries they would have. Wes said that
he would be able to pick up the cum on Thursday morning if needad. Trany brought pens from Av~ta
Federal Credit Union to use for the event. KLm wilt need to bring a guest book and other items like the
surveys, maps, membership applications, etc. KLm stated that she spoke to Bill Teetem from the
Barbershop Quartet. They are planning on attending and singing. If there is a fire somewhere, they may
not be able to sing since both Bill and Jim Davenport go out of town on these fire lines when they are
needed. Jerry staled that if that happens, he could get a quartet out of Biltings if he has a few days notice.
It was stated that the meat would be purchased from Ricci's. Kbn stated that she would go to Costco for
some of the items since they are a member of the Chamber and the dishes and cups and other items could
be purchased there for a lot tess than anywhere else. The Chamber does have some stuff in a box from the
time that they did a concession stand. It was stated that KLm should lry to get the tablecloths and napkins in
red and white checkered ia order to go with the barbecue theme. Klm will try to get this done like this.
Klm stated that she would tike to go to Jan's IGA for the cake since this would help to try to go to all
Chamber members for the goods needed. All are asked to show up at Riverside at around 4 p.m. to help
with the set up, shocking of the corn, and other things needed. Cleas up will be done right after the event
and sbould only take a few minutas.
It was stated that an executive board meeting/and by-laws committee meeting should be set up. Khn
stated that some of the things called for in the by-laws are not being met. She also stated that she would
like to have an executive board meeting held in ordm' to ask for a raise ia pay and possibly move vacation
thne. She stated that it has bean four years since her last raise in pay. Mike asked if she would be ready for
an audit at that time. She said that she would be ready for an audit since everytbing has been convened to
Quick Books and all aecoant transactions are on computer. TI.is makes it very easy to access account
information. It was decided to meet next Wednesday at noon at the Owl for this meeting. Those on the
Executive Committee are: Donna, Linda, Bob, and KLm. Those ea the By-Laws committee are: Donna,
Klm, Mike, Bob, and Steve. Those on the Audit/Budget Committee are: Donna, Klm Mike, Bob, Steve
and Stephanie.
It was decided to wait until September for the Christmas Decorations Fundralsing Committee and the
Christmas Decorations Work Committee to meet. Kim stated that the boxcar is going to need to be painted
and work done once it is offthe wheels. The railroad has not yet given word on when they would be able
to get this taken care of yet. Once they do, the Chamber will start the work on the boxcar itself.
KLm stated that she would be taking offthe week of August 15a~ for vacation.
It was stated that the Laurel Mu,seam Committee would probably not meet again until after February
since Jim Taylor was recently hurt while riding a horse. He broke a vertebrate in his back and will be on
the mend for sometime. Since he is the president of this commit'cee, there will probably not be any
meetings called until he is ready to conduct business.
Klm would like to have permission to check into funding for a bike trail and the grant process for this as
well as tie into the Heritage Days events for this purpose. Kim stated thal if at all possible, the Chamber
could hold a bike race somewhat like the Chief Joseph Run that is held on the 4s~ of July to kick offthe
event and raise money, All present unanimously voted to give permission for Kim to check into tile
funding and grants for something like this. Klm will report back to whenever she gets any infonnatlon on
the matter.
The R & P Reports were handed out to all present.
Open Forum:
Donna stated that she forgot to ask all to observe a mmnent of silence at the beginning of the meeting.
She stated that Kim needs to quit forgetting to put this on file agenda. She asked all present to bow their
heads in prayer for a moment of silence.
Phyllis asked all present to say a prayer for her son who was receatiy diagnosed with Lou Gehrig's
disease.
The meeting was adjourned.
