BOARD MEETFNG - JUNE 9, 2005
The Laurel Chamber of Commerce Board of Directors met on Thursday, Jane 9, 2005 at the Owl
Junction Diner fi.om 12:00 to 1:00 p.m. Those in artendanc~ were Secretary KLm Wombolt, Directors:
Jerry Banck, Wes Burley, C.J. Dable, and Coral Harvey, and Chamber Members: Ranse' Studiner and Dee
Dee Crider. Since there was not a quorum present at the meeting, the minutes from the last meeting and
the presentation of the bills could not be voted on at this time.
Rene Studiner read the list of items presented for new ha~inec, s. She reported that the boy scouts would
not be available to help with the buffalo burgers for the Lewis and Clark Bicentennial.
Discussion was held on the tables for the 4~ of July run. Coral stated that these tables would be available
from Laurel Ford if needed. C.J. volanteered to pick up the rabies and deliver these to the nm.
Klm stated that the railro~t has moved the Chamber's boxcar to its location at Hageman Elevator. Once
the crew is able to set a date and lime when they can lift this boxcar offthe lrecks, they will contact the
Chamber office. Klm will notify the directors and media of the event at that time.
Kim stated that she would like to round up the money and left over coupon books at this time. She stated
that Wes Burley took 5 books and returned the money for the sale of these, Donna Podolak returned one
book and the money for 4 coupon books sold, and both C.J. and Jm'ry have five books each still out there.
She further stated that the Senior Celebration returned half of the books that they ordered and the money
for the other half. They order 500 coupon books. She would like it mandatory in the future to tell these
groups that they cannot return more than 50 books when they order a certain number of the hooks. Kim
explained that she would have had fewer books printed if they were not going to sell all 500 books. Jerry
asked how much money the group received for selling the books. Kim stated that they sold the books for a
total of $15.00 each, and they kept $5.00 per book sold. The Chamber received the other $10.00 for each
book and ended up paying around $2 to $3 for printing of the books. Kim further stated that with over 200
books left at the office, she would like to receive permission from the Board to sell these coupon books at
the Farmers' Markets for $7.00 per book. All present agreed that this would be a good thing m do. Jerry
asked if be would receive a cut like the Senior Celebration received for selling coupon books. KLm said
that this is something that should be decided by a quorum of the Board of Directors. Renee' stated that this
might not work since Jerry is a for profit business. Coral asked Jerry if he was selling the books as a
director of the Chamber or if he was selling the books as a business. Jerry said both. KLm suggested this
item be tabled until the next meeting. She stated that Mike Nardella knows all of the rules about businesses
and non-profits and he would know how to handle this situation.
KLm asked all present who would be able to help with the 4th of July run and the parade. C.J. said that
she would be able to help, and Dee Dee will help. KLm stated that more volanteers are needed. She said
that she was afraid that this is the reason why the board members did not show up for the meeting. This
will be asked again at the next meeting. The Fourth of July Committee will meet on the 15t~ at noon at the
Locomotive. TMs will be a very important meeting, especially to the newcomers, since the registrations
will be brought and there will be a Iraining session on how to fill out these forms. This will save a lot of
time on the morning of the 4t~. C.J. stated that everyone needs to be at the park by 5 a.m. Klm said that 5

a.m. is too early and stated that the time to be there would be 5:30 - 5:45 since registxatiun doesn't start
until 6 a.m. A driver is no longer needed for the Junior Marshall since this problem has been taken care of.
Kim also informed all present that there would be School Band this year. Peggy Miller is responsible for
getting this put together. A gooseneck trailer pickup is needed if anyone knows of someone with one. (This
problem has also been taken care of since the meeting). Kim stated that the band will line up in the
apamnent complex parking lot across the street fi.om the Caboose Saloon. Class reunion entries will line
up behind the band to make it a whole line of school type entries.
Wes reported on the recent Annual Membership Meeting Committee meeting held. He stated that
everything is figured out except the costs and entertainment. He would like for the Chamber to start
working on putting together a flyer or invitation for this. Another meeting will be need to get this done. At
a previous meeting, Tracy DuFresne had suggested getting her marketing pemou, Eva, fi.om Avanta Federal
Credit Union to come to a meeting to possibly see if she would be able to design a flyer/invitation for this.
Wes suggested that Eva be invited to the next meeting, which is being set for Wednesday, June 22~ at noon
at the Locomotive. H would like to see the mailers put out to the businesses the first week of July. Kim
stated that there is would be no way that she could get this done on the first week in July with the parade
and run going at that time. She said that she could possibly do this on the second week of July. Wes stated
that would larve to do and flint would still give everyone a couple 0f wceks to respond. The event will be
held on Thursday, August 11~ at 6 p.m. at Riverside Hall. The barbecued dinner will consist of steak,
baked potato, eom on the cob, and dessert. Drinks will include coffee, tea, water, and soda available
through the Jaycee's pop machines. The tables will have rolled out plastic for the tablecloths. Tracy is
creel(rog into the prices for this. Klm stated that Bernie Mason of the Yellowstone County Extension
Service has access to Lewis and Clark Bicentennial centerpieces ttmt consist ora dug-out canoe. She
would allow the Chamber to borrow these for the dinner if we would like to use them.
Jerry reported on the recent meeting of the Lewis and Clark Bicentennial Committee. He stated that they
are busy getting the speakers lined up. Walt Foster is in the process of finding out who will be here in
order to do demonstrations. Walt will set up a teepee in Firemen's Park in which Jerry will stay overnight
in. Walt will do a talk on primitive fishing and will also bring a gun of the em to show. The official
enactors will be staying in Park City. The quiet camp will be held on BLM-Pheasents Forever Land, and if
permission is granted, the day traders will be at Korbs Camp (Clark's Riverfi.ont Campground). The events
will be held both Friday, July 22nd and Saturday, July 23ra. The celebration part of this event will be held
at Firemou's Park and possibly Town Square Park. Bernie Mason fi.om the Yellowstone County Extension
Service will be conducting ~, "Taste of the Trail," event in which different foods from different animals
will be available to taste for the public.
The next topic, Advertising for special events, was tabled until the next meeting.
Kim reported that Circos Crazy Days would be held on Friday, June 10t~ at Firemen's Park fi.om 9 a.m.
to 5 p.m. She is not sure how successful this is gothg to be since there was no advertising done in the
Outlook by the retailers. She explained that nsunlly the retailers buy ads stating what special crazy days
prices would be at each of their stores. Since there was no advertising done, she expects that the retailers
will not be moving any goods outdoors either. If this is the case, it might be wise to discontinue holding
Cre~'y Days and just concentrate on the Farmers' Markets.
Klm reported that the circus would be held on Sunday. A check for cash has to be signed before the end
of this meeting. Kim stated that the circus has to be paid in cash. Afl, er all of the tickets sales are totaled,
then the circus gets a certain cut for the different tickets, and the advertising costs are deducted from this,
and the Chamber gives them the amount owed. After the second show, the circus ftgures up the amount of
tickets sold at the gate and settles with the Chamber. Klm and Phyllis will be the ticket takers at the circus.
K'un stated that the businesses were generous with their donations. Every school child in Laurel -
kindergarten through the 5t~ grade were given a ticket to the circus.
It was stated that Little Horn State Bank would hold a ribbon cutting to coincide with their Grand
Opening. This will not be on a Thursday after a meeting. Klm will contact the Board to let them know the
date. Dee Dee star, ed that it would probably be held the week of Jane 26th since the new bank president
would be on hand at that time.
It was discussed that it would be a good idea not to have any additional committee meetings or events
fi.om now until after the 4t~ of July. Klm explained that the work load is the heaviest at this time. The
office should be open as much as possible as well at this time.
