OLD COUNCIL CHAMBERS Mayor Ken Olson Larry McCann Steve Klotz Rick Musson Jan Faught Mary Embleton Peggy Amold Sam Painter Terry Ruff Gay Easton Year-end Reports · Department heads need to schedule the year-end reports for a council workshop. Complaint Resolution Procedure/Internal Grievance Procedure · Procedure was received from Paul Hutter in November and feedback was requested. · Mayor said to present at the next department head meeting. General Fund budget worksheeta · General Fund budget worksheets are due back to Mary by January 31 st. Proposal to county · Proposal to county for leased motor vehicle space at S/square foot · Steve will present the proposed figures to the county treasurer. · Put on January 25th council workshop agenda Reconciliation change order for 6th Street pro[ect · Reconciliation change order for $2,800 · Steve will contact Sam to prepare the resolution. Tree Board appointments · Ordinance - 1st reading on January 18th; public hearing on February lSt; 2nd reading on February 15th · Steve will advertise for the Tree Board positions. Council authorization of urban fund~ · Council authorization of urban funds for the potential overruns on the Main Street project · Dedicate urban funds for the sidewalk project up to $130,000 · 8th Avenue project is scheduled for 2007 Ordinance change for nuisances · Public Works Committee proposed changes to the ordinance on nuisances. · Sam and Jean need to review the changes. Department Head Meeting Minutes of January 18, 2005 Village Subdivision - code enforcement · Steve will present information to the council at the January 25th council workshop. Montana Public Vehicle Fueling Program · Rick distributed information regarding the program. o Program is contracted with Wright Express (WEX) o Cards are accepted at approximately 1,500 stations in over 200 cities in Montana. o Program provides better tracking of fuel purchases and exemption of applicable Federal and State taxes at the point of sale. · Discussion regarding use of the program o Would allow employees to fuel while out of the Laurel area ~ Would allow the city to track who is purchasing fuel o Would allow the city to spread the fuel purchases to different businesses o Gas pump at Laurel Service Center is not reliable o Police department's gas key has been accidentally left in the pump o Police department would issue a gas card to each officer. o Fire department would only need two keys. o Ambulance would put a key in each ambulance. · Item will be on the next department head agenda. Ambulance · Two AED's were returned and thc grant money was reissued in order to purchase different AED's. · Dr. Vannice is the new medical director. Purchasing Policy · Department heads need to review Section B and send suggestions to Sum. · Mary stated that the city cannot jeopardize internal control for convenience. Other Steve Apgar, Wheeled Coach, will attend the Emergency Services Committee meeting on Monday, January 24th. Terrorism training is scheduled for January 25, 26, and 27th in Billings.
