DEPARTMENT HEAD MEETING
MAY 4, 2004 4:15 P.M.

Process for council workshop agenda item~
· Process was distributed to the department heads.
· Council workshop agenda items need to be submitted by the Wednesday prior to the
workshop.
· Council workshop agendas are prepared and distributed on Thursday morning prior to the
workshop.
· For council workshop items that will proceed to the next council agenda, all pertinent
information and documents (including resolutions and ordinances) need to be distributed
at the council workshop.
o Resolutions and ordinances will be distributed as drafts for the council's review.
· If the pertinent information and documents (including resolutions and ordinances) are not
distributed at the workshop, the agenda item will be delayed until the following council
agenda.
· Requests for appointments should be made prior to the preparation of the agenda so thc
position and name can be listed under the Confirmation of Appointments under
Scheduled Matters.
· Council secretary will e-mail council workshop agendas to Nathan Tubergcn and Peg
Arnold.
Insurance and Benefit Committee
· Mayor will appoint three non-union employees to the committee at council meeting
tonight.

· At the committee's first meeting, a letter will be written to request the services of an
insurance consultant.
· Council member is needed to attend the Insurance and Benefit Committee meetings.
· Council member is needed to attend the Labor/Management Cooperation Committee
meetings.
Department Head Meeting - June 8th
· Nathan Tubergen will present a general overview of the status of the General Fund.
o Cash flows to show present situation and future facts and figures
· Tuesday, June 8th, from 3:30 to 5:00 p.m.

Update on status of the 2004-2005 Budget · Mary distributed the 2004-2005 Budget Calendar.
· Preliminary Budget will be presented at a special Council Workshop on Wednesday, May
19th, at 5:30 p.m.
LaserFiche User's Meeting · LascrFiche meeting is scheduled for Wednesday, May 5th, from 6:00 to 8:00 p.m. at the
Holiday Inn Grand Montana.
· Mary encouraged the department heads to attend the workshop on document imaging.
Planning ~rant
· Larry was not at the meeting to present the item.
· Crystal Bennett is checking into available sources for planning monies for a city
complex.
Other
Ambulances
· The two ambulances are being repaired this week.
Sidewalk at the library · Peg is getting bids to repair the sidewalk.
· Suggestion to contact Carlos Concrete for a bid
Court
Jean reported on Judges' School last week in Butte.
Advertised for a temporary replacement for court clerk
Discussion regarding options for relocation of the court facilities
Jean has received a bid from Mobile Star/Billings Builders for a stick built modular unit.
School election
· Mayor reminded the staffto vote in the school election today.
Important dates · May 19th - Presentation of the 2004-2005 Preliminary Budget
· June 8th - Discussion of the General Fund with Nathan Tubergen
