BUDGET/FINANCE COMMITTEE
AUGUST 5, 2003 5:00 P.M.

The Budget/Finance Committee meeting was called to order by Chairman Olson at 5:06
p.n~ There was no public in attendance.
The minutes of the July 15, 2003 regular meeting were approved as submitted.
July claims totaling $400,608.71 were reviewed and the committee unanimously
recommends approval by the council.
The following purchase requisitions were reviewed and approved:
GENERAL FUND:
Membership dues for Montana League - council $ 1,876.50
Public defense - court $ 541.52
Service fire extinguishers - city hall, library, shop (and wtr plt) $ 387.75
CJIN annual service - police $ 5,331.60
Swffi Justice computer sofiware annual service - police $ 2,475.00
Replace 1000' ofl" forest service hose- fire $ 1,300.00
Books and training material - building code enforcement $ 578.30
Briquettes for filter - pool $ 525.00
STREET MAINTENANCE FUND:
Oil additive $ 583.60
SWEEPING DISTRICT FLrND:
2 brooms for sweeper $ 590.00
2 fan bearings for SD-3 $ 569.10
9-1-1 FUND:
Install UPS system upgrade $ 9,770.00
FEDERAL EQUITABLE SHARING FUND:
Task chairs for dispatch, police officers $ 2,938.00
WATER FUND:

The committee would like the purchase requisitions to be presented to them completely
filled out to make the process easier. Chairman Olson asked the mayor to communicate
this to the department heads. Mayor Johnson stated he would like to get feedback on his
request to the police department to consult Technical Edge regarding the UPS systen~
The Comp/OT reports were reviewed for pay period ending 7/20/03.
The Payroll Register for PPE 7/20/03 for $120,937.32 was reviewed and the committee
unanimously recommends approval by council
Mary informed the committee that she received the certified taxable value from the state
on Monday, and will proceed with changes to the Preliminary Budget. The value of the
mill dropped from $5,819 last year to $5,615 this year. For the preliminary budget, an
estimated mill value of $6,000 was used. Mayor Johnson stated that the hearings on the
preliminary budget could close at tonight's council meeting. The figures for mill levies
will be prepared and presented at the council workshop on the 12~h, and the budget could
be finalized on the 19t~. Chairman Olson thanked Mary for all her hard work on the
budget.
Under other issues, Judge Jean Kerr presented the committee with a written request for
an increase in her salary. She is requesting a $2,500 increase to put her at $25,000/year.
The written request is attached to these minutes.
The next meeting will be on Tuesday, August 19~h at 5:00 p.m. Mary will be on vacation,
so Cathy will attend. The meeting adjourned at 5:30 p.m.
