HomeMy WebLinkAboutChamber of Commerce (8) Laurel Chamber of Commerce Board Meeting Minutes The Meeting was held on February 20th at the Chamber Log Cabin. In attendance were: Executive Board Members: President -Christy Williams, VP- Molly Conrad, Co -VP - Amanda Frye. Directors: Holly Anderson, Heidi Jensen, Donnie McVee and Jennifer Ries. Members: Kammy Thurman, Julie Johnson, Zada Stamper, Monica Pledcer, Tom Latos and Vicki Phillips. Christy called the meeting to order. The minutes were approved: Kammy Thurman commented that the Executive Secretary issue had not been updated as promised; Molly explained that due to events that took place within 72 hours of promise that the issue had been tabled. moved to approve - Donnie, 2" - Heidi. The finandal report was approved and bills were presented for payment with one addition: moved to approve - Holly, 2" - Donnie Old BUSINESS • New Executive Secretary- This issue has been tabled, executive committee will share information as seen fit. • Taxes - Molly checking on due date, Julie Johnson pulled on internet, due in May 2014 • Annual Meeting Review • Quick Books - Email Vote was discussed. • Graduation Matters - Motion to allow presentation at March 27 Board Meeting was made by Holly, 2" - Amanda. New BUSINESS • Graduation Matters - Presentation to be given at March 27 Board Meeting, motion to allow - Holly, 2 - Amanda. • Two Monthly Meetings - Motion made to have meetings twice a month on 2n and 4 Thursdays - Amanda, 2n - Molly Passed • Committees: Budget /Audit - Molly and Julie Johnson volunteered. Molly gave a brief explanation that a CPA audit of the books will cost approx $7500.00 and that the best records we can find show the last audit was the 2009 books in 02/2010. An internal review is allowed per bylaws. It was suggested that the budget committee also look into the cost of phone and postage machine costs and ways to cut them. Bylaws - the bylaws we are using were not properly ratified and the best records found indicate that 1999 were the last ones properly ratified and filed with IRS. Scholarship - Christy and Holly volunteered. Christy also shared that the Beartooth Grill offered to give $2.00 per plate on March 16 and 17 if Chamber would come and help buss tables and visit with guests about the scholarship fund. Christy also explained that the Scholarship committee will be looking into qualifying Laurel for Superhost. 4 of July - Amanda • New Board Members - Suggestions for new Board Members was asked of the Board • Board Presentations - o Relay for Life - to give presentation at March 13 Board Meeting - Motion to approve Holly, 2n Heidi o Bruce Swanson - discussion as to whether Mr. Swanson's presentation was within the scope of the Chambers Goals and Mission Statement. Kammy suggested that the Chamber contact Mr. Swanson and suggest a different venue, the Outlook possibly - Motion to allow Mr. Swanson to present at the March Meeting - Heidi, 2nd - Jennifer - ALL MEMBERS OPPOSED. o Montana Governor's Conference - April 13 -15 in Billings, Holly explained what the conference is and that grants will be discussed. Motion to pay for Marcia to attend in the amount of $140.00 - Molly, 2 — Heidi - Passed A motion was made to allow LURA to use the newletter - Heidi, 2 Molly - Passed Meeting Adiourned Next meeting - Mar 13` 2014 noon at Emma's Laurel Chamber of Commerce March 13th, 2014 at Emma's Moment of Silence Presentation of minutes: Financial Report - Yellowstone Checking - $ 13,704.82 Altana Checking $ 25.00 Altana Saving $ 15,720.61 Christmas Repair Fund $ 2,956.79 TOTAL $32,407.22 Bills to be presented for payment: - done to date N.W.
