HomeMy WebLinkAboutLaurel Chamber of Commerce (18) Laurel Chamber of Commerce Board Meeting Minutes The Meeting was held on May 16 at Sid's. In attendance were: Executive Board Members: President - John Mataisz, Secretary Joanne Flynn. Directors: Clyde Barton, Tim Bronk, Janelle Crowley, Dan Dart, Dr. Ed Madrid, Jennifer Ries, Christy Williams and Alternate Joe Statser. Members: Monna Rae Adickes and Chamber assistant Marcia Hafner. John called the meeting to order. The minutes were approved: moved to approve - Tim, 2nd - Clyde. The finandal report was approved and bills were presented for payment: moved to approve - Joe, 2n - Christy. NEW BUSINESS • New Members - Fichtner's Chevrolet an Michelle Martell w/ Rodan & Fields. • .July 4th - o New Pricing - The new parade sign up was presented with narrowed down categories and new pricing. Moved to accept- Joe, 2n - Clyde, Approved. o Separate QuickBooks account -it was discussed and moved to make up a separate QuickBooks account for the July 4th events with sub - categories. Moved to accept - Clyde, 2 Dan. o New Parade Rules -Tim had a couple of suggestions. Moved to accept rules- Dan, 2 - Joe, Approved. o Letter about no Parking -The letter was presented. It was discussed that the best option would be go door -to -door. Christy said she would help Monna Rae & Joanne in June, possibly the week after Memorial Day. An article about the no parking could be in the Outlook after the letters are distributed. Moved to accept - Christy, 2 — Ed, Approved. o No Parking Signs - Letter of approval from city. Printing bids were discussed & it was decided not to pay for the lamination. o Event Insurance Paperwork has been sent to Western States. o Activities - Monna Rae brought up that the Chamber should sponsor some events in the park to keep people here all day. Music was suggested. It was agreed to look into it for next year. o Horse cleanup- There was some discussion about who cleans up after the horses. No decision was made, but it was agreed to look into it. • Ribbon Cutting - Fichtner Chevrolet is having a ribbon cutting at their open house this evening. OLD BUSINESS • Log Cabin Insurance - Hartford insurance, who we had the bid from, will not cover the Chamber Log Cabin. Dan thought that it was because of terrorist threats, like in Boston, and because of our special events. Joanne will continue to look into other options. OPEN FORUM • 2 Meetings for Tune - Joanne asked that 2 meetings be held in June, one on June 6th and one on June 20 Motion made -Ed, 2 nd- Joe, Approved. • VIC Partner Program - Marcia reported on the VIC Partner Program. Because Laurel was chosen as part of the Partner Program, we are eligible to receive $5,000 to go towards salaries, a new router, matching funds for a new iPad and compatible wireless printer, up to $350, and some help with putting up some DOT signs on the highway, etc. It was moved to accept the contract - Tim, 2 " Joe, Approved. • LURA - Marcia reported that LURA /City are looking into hiring a company to do some "branding" for Laurel. The company presented some brochures, etc. they have done for other cities. It was decided to let them put together a proposal to be discussed at the next meeting. • School District - There is a Divisional track meet coming to Laurel May 18, and the State Track Meet coming on May 24 & 25. • Business after Hours -. o May - Maurer Chiropractic - May 23rd o June -Ace & the UPS store? o July - Meeting Adjourned Next meeting - June 6th Emma's Laurel Chamber of Commerce June 6 - 2013 at Emma's Moment of Silence Presentation of minutes: Financial Report Yellowstone Checking - $28,810.82 Altana Checking $ 5,718.06 Altana Saving $ 25.00 Christmas Repair Fund $ 1,313.50 TOTAL $35867.38 P &L report and reconciliation attached. Bills to be presented for payment: - Toner Joe - Ink Cartridges $ 314.55 Rainbow Racing - #'s for Parade $ 47.83 Debit Vender Overpayment $ 25.00 Laurel Outlook Explorer $ 550.00 N.W.E $ 53.31 NEW BUSINESS • New Members - None • Grant/Insurance - Emailed info to all board members- conceming the need for additional insurance in order to be eligible for the grant - received approval from 9 members. Passed! Contacted the Insurance Company and it is in the works. We will be billed. • Sponsorship to "Rock the Block" ? OLD BUSINESS - • July 4 - • Letter to residents /businesses - delivered and an article will be in the Outlook. • Printing of signs -size 11x17 will be made at Office Depot - Cost is 35 cents per sign (order 100 ?) • NO Parkins signs - where and how to put up if no trees or posts? Where to get cones or barricades? • Clean Uo Vender area issue. • Volunteers needed - Group of 10 to hand out water - Contribution to group of $150.00 (6:45am till 8:45am) 4 people to put up "No Parking Signs" on June 28 and take down after parade. 3 people to help with parade entries pick -up at Caboose - 9:45 till 11:00 3 people to help on morning of July 3r to mark out vender areas. 7 people as judges for the parade.
