Cemetery Budget for 2011 -12: • Lighting for Veteran's section: The city received a quote from Ace Electric to install conduit and wire from the cemetery shed to the flag poles, install four 100W flood lights and one outlet pedestal. The cost will be $13,500.00. Matt said they intend to bore under the road. Chuck suggested putting a pole to the north and trenching to the area. There was further discussion and it was stated that this is the bid, and it is up to Ace Electric to either bore or trench the line and we can just leave it up to them to get the job done. Mayor Olson said the committee needs to weigh the priorities. The VA funds are available in the current budget and this project can go forward now, if the committee deems it a priority. It was the consensus of the committee to go forward with the bid from Ace Electric. Matt said that we need to consider the cost of flags for the cemetery. If they are flying all the time, the wind can destroy them in no time and we need to have a budget to replace the flags. • Concrete ribbons for headstones: A bid was received from MKM Construction, Inc. with two options. Option #1 is to provide labor, concrete and block -out material only, to form, pour and finish 325 square feet of 6" thick by 24" wide concrete ribbon at a cost of $4,390.00. Option #2 is to provide labor and equipment to excavate and place 18" depth of 3 /4" road mix in 390 square feet of ribbon concrete sub - grade, at a cost of $1,680.00. Chuck spoke to Hank Guerrero with P & H Concrete, Inc. and received a verbal bid and he will turn a bid in to City Hall. (The bid came in and his price is $2,360.00. The headstone banding price includes concrete rebar, PVC pipe for flower cans, set headstone cutouts and concrete pump, with excavation and gravel preparation to be completed by the City of Laurel.) This is an item the VFW would like to see done this spring. The money for this would also come out of the VA funds and can go forward now. Motion by LuAnne, seconded by Lee to approve the installation of power for the flags and pouring the concrete ribbons in the Veteran's section, with the details to be Left up to the discretion of the Public Works Department. Motion carried. • Imaging: Kurt contacted SS3DI to give us a proposal for imaging of our paupers sections. They submitted a proposal of $6,560.00 to scan an area defined as 300' x 175' and would be scanned every foot, giving the highest density of coverage for the most accurate results. Chuck Cemetery Commission Page 2, April 18, 2011 said scanning these areas would allow us to utilize the area and benefit us when putting in a sprinkling system. The areas would be Section A and a small area on the west side of Section B. Motion by Mayor Olson, seconded by Chuck to prioritize the imaging of Section A and west part of Section B, in the CIP budget listing, at a cost of $10,000. Motion carried. • Pump: Matt said the pump should be ready by mid May and Lonnie Bekel, with L & J Machine, will help re- install it. While he has the pump tore apart, he will replace some bearings in the motor. • Brochure: Cathy called and got information on approximate costs for doing a brochure for our cemetery. Motion by Mayor Olson, seconded by Lee to budget $800 for a brochure. Motion carried. • Cemetery irrigation system: The city received a bid from Great West Engineering for $8,900 for the design phase and an additional $8,600 for them to oversee the bidding of the project and provide construction administration services. A second bid was received from Aquoneering for an estimated bid of $6400 — $6950, with an additional $1500 for contract administration. Mayor Olson suggested going forward with Great West. They have done a lot of work for the city and he feels we would be better served by them. The city can oversee the construction of the project. Motion by LuAnne, seconded by Lee to go with Great West as our engineer for the design phase, at a cost of $8,900. Motion carried. • Plaques: It was estimated that it would cost $550 for 16 plaques and hardware, for the benches. Motion by Lee, seconded by LuAnne to appropriate $550 in the budget for purchase of 16 plaques and hardware for the cemetery benches. Motion carried. • Trees: The Tree Board has suggested a lilac tree for the cemetery and there was discussion of this for the gathering area.
