HomeMy WebLinkAboutBright n' Beautiful Minutes 11.19.2009l MINUTES November 18, 2009 Bright n' Beautiful 11:30 a.m. President Helen Johnson called the meeting to order. Introductions were made and roll was taken. The minutes from the October 21 meeting were approved. Financial: As of this date there is $1,057.86 in the checking account and $38,229.24 in the savings. $3,203.00 has been raised from the banquet and silent auction. Expenses totaled $2,711.33 which includes the bill from the Crowne Plaza for 94 dinners, a total of $2,135.21 bringing the total profit to $691.67. Jean Carroll covered the Balance Sheet & Profit and Loss statement with the board. Chuck pointed out that the $675 under state withholding showed a positive instead of a negative entry. With this correction the financial report was approved. Joette Larson has contacted Carolyn. She is working for Rail Link in Laurel. She would like to remain on the full board but is resigning as Vice President. The board needs to elect a replacement. Lisa Brandt was suggested as a candidate to replace Joette. There was a motion to approve Lisa as VP; motion passed. Helen will call her. Carolyn will retire after the December 15th pay period. She will conduct the December 16d' meeting. At this point, the order on the agenda got a little out of order. Carolyn was asked how she could chair the Christmas Tree Recycling Committee since she was retiring as of the 15th. Carolyn explained that 90% of these duties will be complete by then. There was some confusion as to why Carolyn has chaired the committee for so many years. Barb explained how originally B n' B headed the first Christmas tree chipping project in the late 1980's. Carolyn further explained that the city and county donate $2,000 each and Laurel donates $250.00. This $4,250 is directly deposited into the B n' B saving account. With this money, Carolyn pays the chipper as well as other misc. expenses. After expenses, the remaining money is donated to Bright n' Beautiful because of Carolyn's efforts. Not only is it a very beneficial project for the environment, it serves as a fundraiser for B n' B. Barbara also shared some more thoughts with the board on the beginnings of Bright n' Beautiful and how their committee worked hard to get the support from the city and county. This support helped clear the way for certification in the national Keep America Beautiful. It was January 1988 that Carolyn was hired as the first executive director. Barbara was a founding member and the first president of the board of directors. Carolyn prepared a booklet on the administrative duties and monthly schedules for the executive director. The board members received a copy. Carolyn covered the list of administrative duties and stressed the necessity of having an accountant prepare the 990's in the future. She also went through each months schedule. "'Next on the agenda was the board's report on plans to replace Carolyn. Dan Miller nominated ?elen Johnson for the position of executive director. Discussion followed. Peggie, although she agreed it was a good nomination, asked if the board didn't need to advertise the position to outside sources. Chip agreed that we do need to post the opening. Time is running short. Chuck said if the position was posted immediately and there was a cut off date of November 30', applicants could be screened and interviewed shortly thereafter and there could be a new executive director by December 15''. Chip and Peggie were asked to represent the board on interviewing the applicants. Carolyn will also sit in on the interviews. Peggie was willing, but strongly suggested Barbary. Vannes fill the roll as she was one of the original board members that hired Carolyn. Carolyn will post the notice and collect the applications. The committee of Chip, Barb and Carolyn will select the best two or three applications and conduct the interviews. Beginning salary will be $20,000 to $25,000 based on background and experience. This committee will bring recommendations to the board in December. Next the Litter Patrol for the Holiday parade on Friday November 27th was discussed. Carolyn has family coming for Thanksgiving who will handle it. Her son-in-law, Dean, will put Christmas lights on 2 of the roll around dumpsters. Jerry and Dean could pick these up on Friday. Carolyn will call Chip by next Tuesday to work out the details.
