Janice Blansett reviewed the Balance Sheet/profit & Loss statements ending 2008. Janet recommended we do an audit. She will check with Strom and Associates, an accounting firm she works for, as to the cost of an audit verses a review. And also find out if a review would be adequate. Carolyn will also can her accountant. Checking balance to date: $819.21 - Savings balance: $39,142.07 Deposits since December meeting: Allied Recycling: $212.00 Silent Auction: $34.00 Interest: $29.53 Carolyn read a Christmas card from Rimrock Foundation complimenting B n' B on the work we do in the community. She also read the letter from MDU stating that due to their many requests for funding, they will not be able to contribute to Bright n' Beautiful in 2009. The Great American Cleanup is scheduled for Saturday been confirmed. Jean Carroll would like to get blank banners for Laurel if they chose a different date for their GAC. This is not a problem. Carolyn received an e-mail from Linda Villareal with the Juvenile Justice Court Services. She is interested in having youths on probation for graffiti related offenses be required to remove graffiti. The materials and supervision would be handled by the Probation Officers. Liability insurance is the key problem. She asked if Bright n' Beautiful would be interested in serving as the 501 c 3 organization. AT 11:30 A.M. AT PERIUNS ON N. 27TH MINUTES February 18, 2009 Bright n' Beautiful 11:30 a.m. President Helen Johnson called the meeting to order and Roll was taken. The Mayor of Laurel, Ken Olson, has named Laurel City Councilman, Chuck Dickerson to be on the Bright n' Beautiful board of directors. Chuck was unable to attend today's meeting due to recent surgery. Janice had the Balance Sheet and the Profit & Loss statements prepared for the month of January 2009. These reports are now on our new Quidd3ooks system. Janice answered questions and thanked the board for their interest in the reports. Janice also brought up that Bright n' Beautiful had an audit from Montana. State Fund (Workers Comp) and it was determined that Carolyn needs to be reclassifiied. As it stands now, she is, classified a "clerical" This means if she is working outside the office such as the Great American Cleanup she is not covered by Workers Comp. The reclassifications will increase our rates. As of this date, we have not heard what that amount will be. Janice would also like to have an audit or a review done on the books before she leaves this coming summer. As of this date the checking balance is $439.56 and the savings balance is $43,235.25. Deposits since the January meeting: Allied Waste; $73.15, City of Billings; $10,000, Yellowstone City; $15,000- The Billing Gazette is no longer giving c donations, but they are offering matching fimds for advertising. They also gave a list of free ways you can promote your event such as editorials, news releases, listing on the Community Calendar or their Web site. Next Carolyn reported on the progress of virmiring on Fraffifi removal by entering into a partnership with the Juvenile Justice Court. Carolyn is waiting to get a determination from Homess LaBar to see if our liability insurance would cover the youths removing the graffiti. The Great American Cleanup will be held on Saturday April 25th. As m the past, we will set up at Senior High parking lot- Chip reported that we have received 10,000 Glad trash bags and we also have 10,000 bags left from previous years. Peggie said the North Park Task Force is unable to participate this year, at least not to the extent as last yeah. The Award Banquet is scheduled for Wednesday October 28 at the Crowne Plaza. The Downtown Billings Association is holding and Earth Day Event to be held on the Court House lawn on Wednesday April 22. They will have a table set up for Bright n' Beautiful to put up a banner on the Great American Cleanup, sign up volunteers, give out bags, etc. St. Patrick's Day parade is Saturday Mamb 14`k at 11:00 am. Helen thought we could do the Litter Patrol again if we can get vol rs. Chip will provide the containers and the trash bags. .Anyone who would lice to volunteer, please call Carolyn. Chuck Dickerson was introduced to the board- Chuck is a Laurel City Councilman and has been appointed to the Bright n' Beautiful board by Laurel. Mayor, Ken Olson. The minutes from February 18 were approved. Janice reviewed the Balance Sheet and the Profit & Loss statement ending February 28 h Jackie moved and Jane ceded to approve Jamce's reports. Passed. Presently there are 18 board members. Our insurance will not cover youths on probation while removing graffiti as requested by the Juvenile Justice Court- Jim Reno tbougbt the court system carried liability ice- He will inquire about this. Carolyn will work the DBA's Furth Day event on April 22- It will be held at the Good Earth Market, not on the Corot House lawn. Helen, Jena Carroll and Chuck said they could help. The St. Patrick's Day parade Litter Patrol was cancelled due to tie weather. The Great American Cle=W in Billings and Shepherd will be on Saturday April. 25. Laurel's cleanup will be on May 2d and 3"d_ Last year we paid Party Time Plus $368 far the canopy which included setup and delivery. This year it would be $456. Carolyn called several rental companies and. Party Solution price is $335, which inclines setup and delivery. Chuck moved and Dan seconded the motion to use Party Sail tip with two sides for $20 ca & if needed.. Motion passed. Chip said the bags we recarn d this year are oidy 13 gallons. We will use these to send to the schools. Post®cs and banners were distributed. Chuck asked if he could get roster of the nams and a ges of the board members. Carolyn will e-mail a roster to Chuck and all board members. Dan bought up the subject of reinstating our Web Page- The board agreed. Jim made a motion that we get this done and pay the cost. Chuck seconded the motion.
