The enclosed billing is for preparation of the survey and mailing of the survey to 1,200 persons.
Each survey letter included a return self-addressed, stamped envelope. Our contract stipulated
that 1,100 surveys would be sent, but I added another 100 for good measure. There is no charge
for the additional 100 surveys. Costs to date amount to $3,517.37, which includes all data base
preparation, labeling, postage, copies, etc.
Label preparation was done using the phone book, along with water billing records. Names were
taken from the phone book in order to be sure apartment residents and other tenants would be
included. All addresses were checked to verify that recipients were within the City limits.
The mailing of the notification letter, also referred to as the teaser letter, was done by MTS. The
early notification letter was requested by the City in addition to the work stipulated by the
ME&A contract. The cost of that mailing amounted to $537.76. ME&A provided copies for that
mailing, but there is no charge for that minor expense.
The remaining ME&A budget is $9,743 - $3,517.37 = $6,225.63.
Thank you for choosing ME&A to conduct this important survey. I expect to have the
preliminary results ready by early October. Final results and the report should be ready by
November. A public hearing could be held anytime thereafter.
